Website Design for Dental Practices

A dental website that earns patient trust, integrates with your practice management system, and converts visitors into booked appointments. Built on WordPress, built to last, built around the compliance requirements your practice actually faces.

Overview

What Makes a Great Dental Practice Website

Seven things every dental site needs. We build all of them in from day one.

Intake forms

HIPAA-aware patient inquiry forms

Contact forms and appointment request forms must use vendors with signed Business Associate Agreements. Gravity Forms with a HIPAA-compliant add-on is our preferred solution for WordPress. Standard form plugins aren't sufficient for PHI-adjacent submissions.

Booking

Online booking integrated with your PMS

Patients expect to book online. Dentrix, Eaglesoft, Open Dental, Curve Dental, NexHealth, and Weave all offer booking flows that can be embedded or linked from your website. We handle the integration so booking feels smooth for the patient and the appointment writes back to your schedule automatically.

Landing pages

Service-specific pages for high-value procedures

A patient searching for "dental implants near me" needs a dedicated page with clinical depth, procedure overview, financing options, before/after examples, and a clear booking path. Folding implants into a generic "our services" page loses that patient to a competitor with better content architecture.

Before/after gallery

Proper disclaimers built in

Before-and-after photography is one of the most powerful conversion elements for cosmetic and implant cases. Every image requires written patient authorization, and "individual results may vary" language is required by state dental board advertising rules. We build the gallery with the compliance framework built in.

Insurance & financing

Clarity that reduces objections

Patients filter by insurance network before they ever visit a website. Making your accepted insurances and financing options (CareCredit, Sunbit, in-house plans) easy to find reduces the most common objection before the first call.

Mobile-first

Built for the phone screen

The majority of dental searches happen on mobile, often in an immediate-need context like an emergency or a same-day appointment search. The site has to load fast and make booking a next step feel effortless on a phone screen.

Accessibility

ADA/WCAG 2.1 AA compliance

Dental practices serve patients of all abilities. Proper alt text, keyboard navigation, color contrast, and labeled form fields are both a legal requirement and good practice. We build accessibility into the site structure, not as an afterthought.

Process

Our Design Process for Dental Practices

Five stages from kickoff to launch. Every one built around dental-specific requirements.

01

Discovery and Strategy

We start with a strategy call to understand your practice type, patient demographics, primary services, current website performance, and growth goals. We look at your competitive landscape, identify the gaps in your current digital presence, and map out the site architecture before a pixel is designed.

02

Information Architecture and Content Planning

We map every page: homepage, service pages (including dedicated pages for implants, Invisalign, cosmetic, emergency, and any specialty), about, team, insurance and financing, and contact. For practices with multiple providers or locations, we plan the architecture to scale. We also identify HIPAA compliance requirements for each data-collection touchpoint on the site.

03

Design and Development

We design and build on WordPress with a clean, mobile-first approach. No unnecessary page builders, no bloated plugin stacks. The design reflects your practice's positioning, whether that's a warm family practice feel or a high-end cosmetic aesthetic. Development includes PMS booking integration, Gravity Forms HIPAA setup, and any third-party tool connections (Weave, NexHealth, Podium, Birdeye, etc.).

04

HIPAA and ADA Compliance Review

Before launch, we conduct a dedicated compliance review. We verify that all forms have appropriate vendor BAAs, that analytics configurations don't expose PHI, that before/after images have consent documentation attached, and that the site meets WCAG 2.1 AA accessibility standards.

05

75+ Point QA Audit and Launch

Every dental website goes through our Optik Method QA process before going live. This covers performance testing, cross-device and cross-browser testing, form submission verification, booking flow confirmation, and content accuracy review. We don't launch until everything passes.

Dental Website Features and Integrations

We integrate dental websites with the platforms your practice already uses, so your patient acquisition front-end connects to your operational back-end without manual workarounds.

Practice management

Where booking and records live

Dentrix, Eaglesoft, Open Dental, Curve Dental. Reserve with Google, online booking, and patient data integration tuned to whichever PMS your practice runs on, from dominant multi-provider systems to open-source platforms with strong APIs.

Specialty imaging

Built for orthodontic practices

Dolphin Imaging. Orthodontic practice management and imaging integration for practices that need it connected to the website's patient-facing side, not just the back office.

Patient communication

Scheduling, reminders, and messaging

Weave, NexHealth, Lighthouse 360, RevenueWell, Solutionreach. Online scheduling, digital forms, appointment reminders, missed-call text, and two-way messaging synced in real time with your PMS.

HIPAA-compliant forms

Secure patient inquiries

Gravity Forms with HIPAA add-on, Paubox. BAA-covered patient inquiry and appointment request forms for WordPress, plus HIPAA-compliant email for patient communications and marketing automation.

Patient acquisition

Scheduling and recall, connected

PatientPop, DemandForce. Patient acquisition platforms with online scheduling, appointment reminders, and recall built in and connected to your website.

Reviews & reputation

Review generation and monitoring

Podium, Birdeye. Review generation, webchat, messaging hub, and reputation monitoring across the platforms prospective patients actually check.

Single-location practices get a homepage, service pages, team, insurance, contact, booking integration, HIPAA forms, ADA compliance, and our 75+ point QA. Specialty practices add dedicated procedure landing pages, a before/after gallery with a consent framework, financing integration, and expanded content. Multi-location or DSO-affiliated groups get location page architecture, centralized content management, brand consistency across sites, a scalable SEO structure, and complex PMS integration. We don't sell packages off a shelf because the variables that drive scope (number of locations, specialty service depth, existing content, integration complexity) matter too much to ignore.

FAQ

How much does a dental practice website cost?

Most dental websites run $2,000 to $12,000. Single-location general or family practices sit at the lower end of that range. Specialty practices with dedicated procedure landing pages, before/after galleries, and complex integrations sit at the higher end. Multi-location and DSO builds run above $15,000 depending on scope. Everything is scoped individually; the number above is the realistic baseline for most practices.

Do you build HIPAA-compliant websites for dental practices?

We build with HIPAA compliance as a core design constraint, not a feature add-on. That means HIPAA-capable form solutions with BAAs (Gravity Forms with the HIPAA add-on is our standard), analytics configuration that avoids PHI exposure, and vendor selection that takes patient data seriously. We strongly recommend practices get their own legal review of their HIPAA posture, but our technical build starts from the right place.

Can you integrate online booking with our practice management system?

Yes, and this is a standard part of every dental website we build. We work with Dentrix, Eaglesoft, Open Dental, Curve Dental, NexHealth, Weave, and other platforms. The specific integration approach depends on your PMS and whether you want native booking, a third-party patient communication tool, or a hybrid. We'll map this out during discovery.

How do you handle before/after photo galleries for cosmetic and implant cases?

Before/after galleries are built with patient consent as a structural requirement, not a checkbox. Every image needs written patient authorization, and the gallery includes state-board-required disclaimers that individual results may vary. We build the gallery framework with these compliance elements built in; your team is responsible for gathering and maintaining the consent documentation.

Do you design websites for specialty dental practices, not just general dentists?

Yes. We work with orthodontists, oral surgeons, periodontists, endodontists, prosthodontists, and implant specialists. Specialty practices need deeper service content, different conversion architecture (a patient seeking a periodontist is further along in their decision process than someone searching for a general dentist), and in some cases specialty-specific integrations like Dolphin Imaging for orthodontics. We approach specialty builds differently than general practice builds.
