Physical Therapy - Web Design

Physical Therapy Website Design

A physical therapy website has one primary job: turn a searching patient into a scheduled appointment. Most PT clinic sites fail at it because they're organized around what the clinic wants to say rather than what the patient needs to see. We build sites that close that gap.

Overview

What a High-Performing Physical Therapy Website Needs

Seven things every PT clinic site needs. We build all of them in from day one.

Scheduling

HIPAA-compliant booking and intake

Online booking widgets and intake forms that handle patient information must operate through HIPAA-encrypted systems with a signed Business Associate Agreement. We build it in from the start using platforms like WebPT, Heno, Jane, and Prompt EMR.

Insurance

Clear insurance acceptance display

Patients filter by in-network coverage before they decide where to go. A prominent, easily searchable insurance list on the homepage and on each service page reduces the number of patients who call to ask and then don't book.

Specialty pages

Pages that match search intent

"Physical therapy" is one keyword cluster. Pelvic floor therapy, sports PT, concussion rehab, and vestibular therapy are others, and patients searching those terms are looking for a specialist. One general services page can't capture all of them.

Direct access

State-accurate messaging

All 50 states now allow some form of direct access to physical therapy. If your clinic treats patients without a physician referral, your site should say so clearly, with language that reflects your state's specific provisions.

Mobile-first

Fast on a phone, not just a desktop

More than 60% of health-related searches happen on mobile. A PT clinic site that isn't fully responsive and fast on a phone loses more than half its traffic at the moment of highest intent.

Referrals

Physician referral pathways

Many PT practices generate a significant portion of new patients through physician referrals. The site should support both patient-direct booking and referring physician workflows, including downloadable referral forms and an outcomes message for referring providers.

Outcomes

Trust content without PHI exposure

Patient success stories build trust and drive conversions. We help clinics present outcomes content in a way that's compelling without crossing into protected health information, using generalized case examples and condition-based outcome summaries.

Process

How We Build Physical Therapy Websites

Five stages from kickoff to launch. Every one built around PT-specific requirements.

01

Discovery and Architecture Planning

Before any design starts, we map the patient acquisition paths that matter most to your clinic. Are you a specialty practice that needs deep condition pages? A multi-location group that needs location-specific architecture? A direct-access clinic that needs to explain the no-referral model? We also audit your current integrations and identify any HIPAA compliance gaps in how your existing site handles patient data.

02

Design and Content Structure

We design for the clinical context of the patient. Someone in pain looking for relief needs clear answers fast: do you treat my condition, do you take my insurance, and can I book now. We use your brand identity as the starting point and build a visual system that feels professional and trustworthy without looking like a stock healthcare template.

03

HIPAA-Compliant Integration Build

We integrate your scheduling platform (WebPT, Heno, Jane, Prompt EMR, or others) directly into the WordPress site so patients complete the booking flow without leaving your domain. Intake forms are built or embedded using HIPAA-encrypted tools with BAA coverage. We confirm BAA status with each vendor and document the compliance stack before launch.

04

Specialty and Condition Page Build

Each specialty your clinic offers gets a dedicated page optimized for the specific search terms that patient population uses. A pelvic floor therapy page is written for the patient searching that exact term. Same for sports PT, vestibular therapy, post-surgical rehab, and every other specialty in your service mix. These pages are often the biggest missed opportunity on existing clinic websites.

05

QA, ADA Compliance Review, and Launch

Every site we build goes through our 75+ step quality audit before launch. For PT clinic sites, that includes a specific review of the scheduling flow on mobile and desktop, intake form compliance, all internal links, page speed, and WCAG 2.1 AA accessibility standards. We don't launch a site that hasn't passed the full audit.

Integrations We Build For Physical Therapy Websites

The PT-specific tools we plug into. Every site we build gets integrated with the platform your clinic actually runs on.

EMR & scheduling

WebPT & Heno

WebPT is the most widely used PT EMR in the US, with scheduling widget and patient portal integration. Heno adds PT-specific scheduling, documentation, and billing with a brandable booking page.

Practice management

Prompt EMR & Jane App

Prompt EMR is cloud-based PT practice management with online scheduling. Jane App handles scheduling and patient intake and is widely used across PT and allied health practices.

Enterprise groups

TheraOffice & Raintree

TheraOffice is PT/OT/SLP-specific practice management with scheduling integration. Raintree Systems is enterprise-grade practice management built for larger multi-location groups.

Revenue cycle

Clinicient

Documentation and revenue cycle management for rehab therapy groups. We connect the patient-facing booking experience to the back-office systems your clinic already runs on.

Digital intake

Phreesia

Digital patient intake automation with HIPAA-compliant form handling. For clinics that need intake workflows outside their EMR, we also build custom HIPAA-encrypted intake forms.

Referral CRM

HubSpot

CRM integration for multi-location groups managing physician referral relationships. We connect referral form submissions directly into the CRM your team already tracks pipeline in.

Trust & safety

Accessibility and Trust Signals We Build In

Two things every PT clinic site should get right that often get skipped.

Accessibility

WCAG 2.1 AA Compliance

Patients recovering from injury or managing a disability are a core part of your audience. We build every site to WCAG 2.1 AA standards so navigation, forms, and booking work for patients using screen readers or assistive devices.

Credentials

Clinician Credentials and Licensing

Displaying therapist credentials, licensing, and specialty certifications clearly builds the trust a patient needs before booking with someone they've never met. We design dedicated space for this rather than burying it in a footer bio.

Locations

Location-Specific Pages for Multi-Site Groups

Each location needs its own page with its own address, hours, staff, and booking link. Patients searching locally expect to land on a page specific to the clinic near them, not a generic corporate overview.

Forms

New Patient Forms Built for Completion

Long, confusing intake forms cause drop-off before a patient ever becomes a booked appointment. We design forms that are secure, mobile-friendly, and structured so patients actually finish them.

FAQ

How long does a PT website project take to complete?

Most single-location PT clinic sites take six to ten weeks from kickoff to launch. The variable is usually content: clinics that come with copy and photography ready move faster. Multi-location group sites or projects with complex scheduling integration typically run ten to fourteen weeks. We set a realistic timeline at the start of every project and build in buffer for the review cycles that always happen in healthcare.

Do you handle the HIPAA compliance setup for our scheduling integration?

We handle the technical integration and confirm that the platforms we use support HIPAA compliance requirements, including helping you identify which vendors require a BAA. We're not a HIPAA compliance firm and this isn't legal advice, but we've built enough healthcare sites to know the risk points and how to address them in the technology stack. For formal HIPAA compliance guidance, we recommend working with a healthcare compliance specialist alongside your website project.

How much does a physical therapy website cost?

Most PT clinic websites run $2,000 to $12,000. The specific number depends on how many locations you have, how complex your scheduling integration is, how many specialty service pages you need, and whether we're developing content or working with copy you provide. We scope every project in the free consultation so you have a firm number before any work begins.

Can you redesign our existing PT website instead of building from scratch?

Yes. Redesigns make up a significant portion of our PT website work. We typically start with an audit of your existing site to identify what's working, what isn't, and where the conversion gaps are. Some clinics need a full rebuild; others need significant restructuring of existing content with a new design layer. We'll give you a straight assessment of which path makes more sense for your situation.

Do you write the content or does the clinic provide it?

We offer both options. Some clinics have strong clinical content already written and just need it organized and optimized. Others want us to develop content from scratch based on a discovery process where we interview your clinical team. For specialty service pages and condition-specific content, we typically recommend involving your therapists in the review process to make sure the clinical accuracy reflects your actual approach.
